AI note takers without a subscription

Updated 31 October 2026 · 6 min read
Short answerMost AI note takers charge monthly because every minute you record is transcribed and summarized on their servers. Paid plans from Otter, Fireflies and Plaud cost roughly $100 to $240 a year each. An app that does the work on your own phone has no per-minute server cost, so it can be sold once: VoiceVault is free for 30 days, then US$49.99 once, on Android. Pay monthly if you need online-meeting bots or team workspaces; pay once if you mostly record meetings in the room.

We make VoiceVault, which is sold once. Subscription prices below come from each provider's site or, where marked, from published reviews, as of 31 October 2026.

AI meeting notes have become a monthly bill. Most people don't notice it until they add up the year, or until a busy month runs into a minute limit. This guide explains why the subscriptions exist, what they cost over time, and when you don't need one.

Why AI note takers charge every month

Cloud note takers send your recording to their servers, where large AI models transcribe it, work out who spoke, and write a summary. That computing costs real money for every minute of audio, so the price follows usage: monthly plans with a set number of minutes, or higher tiers that remove the cap.

An app that runs the AI on your phone has no server bill per minute. Your phone does the work, using power you've already paid for. That's why on-device apps can be sold once.

When a subscription is worth it

Paying monthly makes sense if you use what the servers make possible:

When paying once makes more sense

What to check before buying a one-time app

  1. Does it really work offline? Turn on airplane mode and record a short test. If the transcript only appears later, it's using a server.
  2. Does it need an account? An app with no account has nowhere to keep your recordings except your phone.
  3. What's the one-time download? On-device AI models are large. Set the app up on Wi-Fi.
  4. Is there a trial, and what happens after it? You should keep what you've already recorded.
  5. Does your phone meet the requirements? VoiceVault needs Android 13 or newer; summaries are fastest on recent phones.

Every meeting, written up. Right on your phone.

Questions

Why do AI note takers need a subscription?

Because they transcribe and summarize your audio on their own servers, which costs them money for every minute you record. Apps that run the AI on your phone don't have that cost.

Is there a free AI note taker with no limits?

Built-in apps come close if you have the right phone: Google Recorder on Pixel phones and Samsung Voice Recorder with Galaxy AI on recent Galaxy phones. They're free but tied to those brands, and their features vary by model.

What do I lose with a one-time-purchase app?

Usually online-meeting bots, team sharing and web access. On-device apps also need a capable phone and a one-time AI download, and long summaries take longer on older phones.

What happens when the VoiceVault trial ends?

You can unlock it with one payment of US$49.99 (or the equivalent shown in Google Play). If you don't, everything you've already recorded stays readable on your phone.
